Terms of Service

Welcome to The Vinyl Hut (“we,” “us,” “our”). These Terms of Service (“Terms”) govern your access to and use of our website, products, and services, including DTF printing, apparel, and related supplies. By placing an order or using our site, you agree to these Terms.

1) Who We Are & Contact

2) Orders, Turnaround & Pickup

  • Local Pickup Only: Online orders are for local pickup at our Cleveland, MS location. We do not currently ship web orders.
  • Turnaround: In-house production (DTF prints, vinyl, supplies) typically 1–3 business days (excludes weekends/holidays). This is an estimate, not a guarantee.
  • No Rush Queue-Jumping: We do not offer rush fees. Orders are printed on scheduled print days and processed strictly in the order paid/submitted.
  • Pickup Notification: You will receive an email or text notification when your order is ready. Pick up is only permitted during Open business hours.
  • Unclaimed Orders: Orders not picked up within 30 days of notification may be considered abandoned and discarded with no refund or reprint.

3) Custom Printing, Artwork & Approvals

  • File Requirements: We strongly recommend PNG with transparent background, sized to final print dimensions, at 300 DPI or higher. Do not mirror artwork—we handle it.
  • Your Responsibility: Gang sheets and uploads are printed exactly as submitted. We are not responsible for low-resolution, incorrect sizes, hidden backgrounds, watermarks, spelling, layout, or color issues in files you provide.
  • Color Variance: Minor color variation may occur due to device screens, inks, fabrics, and press variables. Color matching is not guaranteed unless quoted and approved separately.
  • Design Rights: You represent and warrant you have the legal right to use all artwork you submit. You grant us a limited license to reproduce such content solely to fulfill your order.
  • Custom Design & Print Setup Service (Optional): Non-refundable $20 deposit to start; includes file prep/layout and two rounds of minor revisions (additional revisions billed at $10 per revised proof). Final invoice must be paid in full before printing begins. Turnaround for custom work (typically 4–7 business days) starts after final approval + payment.
  • Approvals: If we provide a digital proof, you must review and approve in writing (email). Your approval confirms all details (size, placement, spellings, colors) are correct.

4) Pressing Service (Add-On)

  • Availability: Pressing is an optional, taxable add-on service for Vinyl Hut-sold apparel and transfers only. We do not press customer-supplied garments.
  • Pricing: $5 for the first press, plus $3 for each additional press on the same garment (e.g., Front = $5; Front+Back = $8; Front+Back+Sleeves = $11). Maximum of 4 press locations per garment.
  • Instructions/Notes: If pressing is selected, you must provide clear placement notes (e.g., “Front center 11 in, 2 in below collar”). Unclear or missing notes may delay your order or result in a standard placement at our discretion.
  • Pressing Liability: Proper application depends on garment type and press settings. We are not responsible for damage to garments caused by incorrect notes, hidden fabric defects, or inherent material limitations.

5) Pricing, Payment & Taxes

  • Pricing: Prices are shown in USD and may change without notice. In case of obvious pricing errors, we may cancel and refund orders before fulfillment.
  • Payment: Orders must be paid in full before production. Custom design work also requires payment of the final invoice before printing.
  • Taxes: Applicable sales taxes are charged based on your jurisdiction and product type. Provide valid exemption documentation prior to purchase if applicable.
  • Store Credit: If a cancellation qualifies for store credit under these Terms, credit will be issued to the email/account on file.

6) All Sales Final, Exchanges & Cancellations

  • All Sales Final (Custom): Due to the custom nature of DTF prints and decorated items, all custom sales are final and non-refundable.
  • Exchanges (Blank Apparel Only): Undecorated apparel in new, resalable condition may be exchanged within 7 days of pickup (no stains, odors, wear). Decorated or customized items are not exchangeable.
  • Order Changes/Cancellations: Allowed only if production has not started. Cancelled printing orders are not refunded; store credit may be issued at our discretion if materials were not consumed.

7) Quality, Reporting Issues & Remedies

  • Inspect at Pickup: Please check your order at pickup whenever possible.
  • Report Windows:
    • Wrong size/color/style on blanks or supplies: Report within 2 days of pickup.
    • Custom printed DTF misprints/defects: Report within 3 business days of pickup.

    Include clear photos and your order number when reporting.

  • Remedy: Qualifying issues will be reprinted or replaced at no charge, at our management’s discretion. Refunds are not the default remedy for custom work.
  • Exclusions: We are not responsible for issues arising from files submitted below spec (e.g., low DPI, leftover backgrounds), improper garment selection or measurements, user pressing errors, or normal wear and tear.

8) Acceptable Use & Prohibited Content

  • Lawful Use Only: You agree not to upload content that is illegal, infringing, hateful, or violates third-party rights.
  • Refusal: We may refuse or cancel orders at our discretion for prohibited or infringing content or for safety/legal reasons.

9) Intellectual Property

  • Your Content: You retain your rights in the artwork you submit. You grant us a non-exclusive, royalty-free, worldwide license to use, reproduce, and process your content solely to produce and deliver your order.
  • Our IP: Site content, product descriptions, logos, and guides are owned by The Vinyl Hut or our licensors and may not be copied or used without permission.
  • Portfolio/Marketing: We may photograph finished products for our portfolio or social media. To opt out, email service@vinylhutms.com with your order number before pickup.

10) Disclaimers, Limitation of Liability & Indemnity

  • As-Is: Except as expressly stated, our products and services are provided “as is” and “as available.” We disclaim all warranties to the fullest extent permitted by law.
  • Limitation: To the maximum extent permitted by law, our total liability for any claim is limited to the amount you paid for the order giving rise to the claim. We are not liable for indirect, incidental, special, consequential, or punitive damages.
  • Indemnity: You agree to indemnify and hold The Vinyl Hut harmless from claims arising out of your uploaded content, your misuse of products, or your violation of these Terms or any rights of a third party.

11) Governing Law & Miscellaneous

  • Law & Venue: These Terms are governed by the laws of the State of Mississippi, without regard to conflict-of-laws rules. Venue for any dispute lies in the state or federal courts located in Bolivar County, Mississippi.
  • Force Majeure: We are not liable for delays or failures due to events beyond our reasonable control (e.g., supply chain issues, weather, power outages).
  • Severability: If any provision is found unenforceable, the remaining provisions remain in full force.
  • Entire Agreement: These Terms, together with our Privacy Policy and posted policies, form the entire agreement regarding your use of our services.
  • No Waiver: Our failure to enforce a provision is not a waiver of our right to do so later.

12) Changes to These Terms

We may update these Terms from time to time. The Effective Date above shows the latest version. Material changes will be posted on this page (and, where required, we will notify you). Continued use of our site or services after changes are posted constitutes acceptance of the updated Terms.
